Overview

The CRM & Sales module manages the entire commercial relationship from first enquiry through to quotation, order, and invoicing.

All customer, contact, and supplier information is maintained in a single, structured record for each organisation and individual. This data flows directly into quotations, orders, invoices, and purchase orders, ensuring coherence throughout every commercial process.

Built-in email tools, document templates, and data-merge functions support consistent, personalised corporate communication across all modules. Telephone notes and reminders make every exchange traceable, while activities and To-Dos link directly to their originating data. All open actions are displayed in the Work-in-Progress view within My Day, keeping day-to-day activity organised and visible.

Contact Management and Enquiries

Contacts are presented in a searchable list with rapid navigation controls. Each record includes detailed company, communication, and transaction history. Enquirers, unqualified leads, can be logged separately until conversion to full Contact records, preventing incomplete or speculative data from cluttering the main contact base.

Both Enquirers and Contacts can link to Enquiries, which remain associated with any future sales activity. Most modules in Erpyrean share this dual structure of List View and Form View, providing a consistent, intuitive interface that minimises training time.

Quotations, Sales Orders and Invoices

Quotations can be generated directly from a Contact, with line items, pricing, and product references drawn from central Parts and Assemblies data. This links commercial activity directly to operational capability.

Data validation ensures quotations meet internal business rules before output. Multi-currency pricing is supported, with margins automatically recalculated into the base currency.

Quotations can be duplicated as new versions or reused as templates for other customers, supporting repeat or similar business and allowing rapid turnaround of revised offers.

Quotations can then be issued as PDFs or email templates using the built-in merge system. This automation guarantees the correct format, branding, terms, and pricing, eliminating manual rework.

Accepted quotations convert seamlessly into Sales Orders, maintaining continuity from enquiry through to confirmed demand. Each order can include single or staged invoice schedules and, where required, create Shipping records directly. Individual serialised products link to shipping line items, with packing lists and commercial invoices generated for both domestic and international deliveries. When orders are marked “ready to ship,” stock levels update automatically, moving items from allocated to despatched.

Invoices can be created directly from the order’s invoice schedule list or from a dedicated, interactive Invoicing Schedule report, where the accounts team can search, view, and create invoices efficiently.

Integrated Email and Document Generation

Emails can be created directly within Erpyrean using predefined templates. The mail-merge system populates customer details, quotation data, and order or invoice information automatically, storing the completed communication against the customer record.

Templates can include pre-attached PDFs such as terms and conditions or marketing materials and can vary by product type or wording. Formal documents, from maintenance contracts to service reports, are produced through Microsoft Word templates, merging database content with standard text and branding. Final documents can be converted to PDF for professional presentation.

This approach ensures consistency and removes the need for manual assembly of attachments or terms. Campaigns for targeted outreach use grouped contact lists, supporting focused communication with defined sets of prospects, customers, or suppliers.

Work-in-Progress and 'My Day'

The My Day view consolidates daily actions, To-Dos, unsent emails, and incomplete call notes, into a single, immediate overview. Sales, account management, and service tasks all remain visible until completed, providing continuity between team members and ensuring that no enquiry is overlooked.

Connected to Operations

CRM & Sales links directly with planning, production, and invoicing. Demand raised through quotations and orders feeds into the MRP, allowing “what-if” checks on availability, stock position, and purchasing requirements before production begins.

Because CRM activity connects to live Parts, Assemblies, Bills of Materials, and cost data, quotations always reflect current operational reality, not isolated spreadsheets or legacy pricing files.
