
The Stock & Inventory module manages every aspect of material control from goods receipt through to dispatch, ensuring full visibility of movement, location, and quantity. It maintains real-time stock accuracy across warehouses, parts bins, service vans, and subcontractors, with every movement recorded in a comprehensive audit trail. Goods enter through Goods In or Job Completion and leave via Shipping, Dispatch, or Service Activity, keeping stock, purchasing, and production in alignment.
Goods are received against purchase orders, with each delivery logged through the Goods In module. Pack and box quantities are recorded alongside any notes for missing, surplus, or damaged items, maintaining a precise record of every receipt. Each entry links automatically to the corresponding purchase order line and supplier record, ensuring traceability from receipt to invoice. Upon confirmation, stock levels update instantly, with all activity logged for future audit reference.
Every stock transaction is visible within each Part or Assembly record, showing a clear movement history across purchasing, production, and shipping. Items are destocked automatically when jobs are completed or dispatched from sales orders. Packing lists, dispatch notes, and commercial invoices can be generated as part of the same workflow. An optional Advanced Destock function allows stock adjustments ahead of formal dispatch when circumstances require it.
Pick lists are generated directly from jobs and are issued alongside the corresponding job sheet. Each pick list automatically reflects warehouse and bin locations for every item, ensuring materials are available when required for production or shipping.
Erpyrean’s configuration defines the most efficient pick route, which all pick lists follow, helping minimise travel time and reduce picking errors. This level of control supports both single-site and multi-location operations, ensuring material movement is quick, accurate, and fully documented.
Stock takes are recorded through dedicated screens showing previous checks, item lists, and physical count documentation. Counts can be completed by warehouse and bin locations with results compared against system stock in real time. Discrepancies can be adjusted directly from the stock-take interface or through the associated part record, maintaining accuracy without exporting data unnecessarily.
Variance and Lost & Found reports can be generated on demand, providing an immediate overview of any inconsistencies. Full data export to Excel is supported when required, though all details are retained within Erpyrean’s internal audit.
Stock management extends beyond the main warehouse to include service vehicles and subcontractors. Materials issued for field service are recorded as transfers, maintaining accurate visibility of both location and responsibility. Field stock is managed directly within the Servicers and Service Jobs modules, with each servicer defined as an independent stock location.
As goods are consumed or returned, inventory levels update automatically, ensuring that all materials remain fully accounted for wherever they are held. Every movement from issue to return is logged within the stock movement audit trail, providing complete traceability across the entire supply chain.
